Selling past recorded stock, and manager approval
For managers. Sometimes the goods are on the counter but the stock records say there are none: a delivery hasn’t been entered yet, or another till sold the last one before syncing. ByteBarn POS lets the sale go ahead rather than turn the customer away, but for a cashier, a manager has to approve it.
What the cashier sees
Section titled “What the cashier sees”Products with no recorded stock still show on the till, marked Out of stock. Adding one (or more than the records show) works, with a note such as Added Dell Latitude 5420 (none in recorded stock, a manager approves it at checkout), and a warning mark on the cart line.
When the cashier selects Complete Sale, the Manager approval window opens, saying what’s being sold past the records:
Approve it
Section titled “Approve it”The manager, at the cashier’s till:
- Enters their Manager’s username.
- Chooses PIN or Password and enters it.
- Selects Approve.
The cashier stays logged in, and the till shows Approved by name. The sale then completes as usual. Only a manager or admin can approve; anyone else gets name can’t approve this. Wrong PINs count towards the login lockout.
Managers and admins selling themselves don’t need approval.
Afterwards
Section titled “Afterwards”The product’s stock goes below zero, and it’s listed as oversold, with the sale and who approved it. Record the delivery or recount to put it right.
Serial-tracked products are the exception: a unit has to exist to be sold, so one with nothing in stock can’t be added at all.
