Count stock (stock takes)

For managers. A stock take is a counting session: you count products, the till shows how each count differs from its records, and nothing changes until you complete it.

  1. Go to Stock Takes and select New Stock Take.
  2. Add a note if it helps, for example “Monthly count — electronics aisle”.
  3. Select Start Stock Take. It gets a reference number, such as ST-0006.

For each product you count:

  1. Pick it in Search a product to count.
  2. Enter what you counted in Counted Quantity and select Save Count.

Each count is listed with the System Qty (what the records say), your Counted Qty, and the Delta between them.

For a serial-tracked product, scan or type each unit’s serial number instead of a quantity.

You can leave a stock take and come back to it: on Stock Takes, select Continue on its row. Only the products you count are affected; others keep their stock as it is.

  • Complete Stock Take writes a stock adjustment for every counted product, so its stock becomes what you counted. For a serial-tracked product you scanned at least one unit of, any of its units you didn’t scan are marked missing; serial products you didn’t scan at all are left alone. It can’t be undone. Each correction shows in the product’s Stock Movements as a stock take.
  • Cancel Stock Take throws the counts away. Nothing has been changed yet, so it’s safe.
