Import products, customers and suppliers
For managers. Products, customers and suppliers can each be imported from a spreadsheet: an
.xlsx file or a .csv. Use it to move in from another system, or to change many prices at
once.
Import
Section titled “Import”- Go to Products, Customers or Suppliers and select Import.
- Select Download Template and fill it in, one row per item. Keep the column names as they are.
- Select Choose File and pick your filled-in file.
Every row is checked before anything is saved. If all is well, the window says how many were created and how many updated:
If any row has a problem, nothing is imported, and the window lists the rows to fix, by their row number in the spreadsheet (the column names are row 1). For example: Row 4: name is required. Fix them and choose the file again.
Updating what’s already there
Section titled “Updating what’s already there”A row updates an existing record instead of adding a new one when it matches:
| Importing | Matched on |
|---|---|
| Products | SKU |
| Customers | Phone |
| Suppliers | Name (capital letters don’t matter) |
A row without a match is added as new. The same SKU, phone or supplier name twice in one file is an error.
The columns
Section titled “The columns”Products: Name, SKU, Barcode, Category, Unit, Cost, Selling Price,
Price Type (inclusive or exclusive, see the price and VAT),
Tax Exempt (Yes or No), Low Stock Alert, Initial Stock.
- A Category that doesn’t exist yet is created.
- Initial Stock only applies to a product being created. An existing product’s stock isn’t changed by an import; adjust it instead.
Customers: Name, Phone, Email, Address, Credit Limit.
Suppliers: Name, Contact Person, Phone, Email, Address.
